privacy notice

I’m Jill, the person behind The Mandala Midwife. This notice explains how I use information you share with me, and how to get in touch about it.

The business responsible for your personal information is The Mandala Midwife Ltd. Our correspondence address is 12 Constance Street, London, England, E16 2DQ.

the information you share

When you enquire, book a session or buy a gift, I use your name, contact details, messages and booking or payment information to help with your request.

For treatments, yoga, hypnobirthing, closing the bones and baby classes, I ask for relevant health information to check that a session is suitable and adapt it to your needs. For baby classes, this may include information about your baby’s health. Please avoid sending detailed medical information through the website enquiry form.

Most information comes directly from you. If someone buys you a gift, they may give me your details so I can deliver it.

why I use it

I use booking and order information to arrange and provide the services you ask for. The legal basis for this is entering into or fulfilling a contract.

For classes, I use relevant health information with your explicit consent to check suitability and adapt the session to your needs. You can withdraw this consent at any time by contacting me. If I cannot assess whether a class is suitable without that information, I may be unable to offer you a place.

For general enquiries, I rely on my legitimate interest in answering questions and running the business, while respecting your rights. I also keep financial records where the law requires this.

bookings and secure storage

If you book through Square, Square holds your personal booking details. Square also handles online payments and eGift cards. You can read more in Square’s privacy notice.

Your records are stored securely electronically, protected by encryption and multi-factor authentication.

sharing your information

I do not sell your personal information or share it with other organisations for their own marketing.

Information is shared only where needed to provide services and run the business, such as through Square for bookings and payments, or where disclosure is required by law.

how long records are kept

Treatment notes are kept for 21 years from completion of treatment.

For yoga, closing the bones and hypnobirthing, personal information is kept only for as long as necessary to manage your classes or sessions, for example for the length of time you attend.

using this website

The contact page has a “View directions” link that opens Google Maps when you choose to use it. The map does not load within that page.

The website currently uses Google reCAPTCHA for spam protection. It may collect technical information about your device and visit. See Google’s privacy policy for more information.

your privacy rights

You can ask to see or receive a copy of your information, correct mistakes, or request deletion. You can also ask me to limit its use or supply an electronic copy to pass to another provider. I will explain if any legal limits apply.

You can object to uses based on my business interests, such as responding to general enquiries. You can always ask me to stop any marketing messages.

Where I use information with your permission, you can withdraw that permission at any time. Changing your mind does not undo earlier use that you had agreed to.

Email [email protected] and tell me what you would like me to do. There is no charge for these requests.

I will respond as soon as possible, normally within one calendar month. If a complex request needs more time, I will tell you within that month and explain when you can expect a response.

questions or concerns

Please email me or speak to me in person if you have a privacy concern. I will acknowledge a privacy complaint within 30 days, look into it, keep you informed and explain the outcome without unnecessary delay.

gift voucher terms

using your voucher

Gift vouchers may be used toward any services provided by The Mandala Midwife, including yoga, complementary therapies or packages.

voucher value

If your chosen service costs more than the voucher, you will need to pay the difference. If it costs less, no change will be given.

Vouchers used solely for yoga can be spread across multiple classes until the balance is used in full.

refunds and transfers

Vouchers are non-refundable and cannot be exchanged for cash, transferred, resold or used to buy other gift cards.

lost vouchers and misuse

The Mandala Midwife is not responsible for lost, stolen or damaged vouchers and reserves the right to amend these terms or refuse use where misuse is suspected.
